planning a wedding timeline

The importance of a well-planned timeline

It is important that all your vendors have the same up-to-date schedule to follow. Your coordinator can help you with this or you can make one yourself. Keep reading for more helpful information, but please remember that each event is different, so you will need to keep that in mind when planning out your timeline.

Plan around the time of year

This is especially important for any event that has outdoor elements to consider. We recommend looking at the weather history for the last 3 years for the specific date and planning your ceremony and reception time around that. You wouldn't want to have a ceremony at 4pm during the hottest part of the year, and you wouldn't want to have a ceremony at 4pm in the fall, winter, or early spring when it might be really cold and getting dark as early as 5pm.

  • Zip Code Weather History Search (refer to the Maximum Temp with this search tool unless you are planning an evening event): https://www.almanac.com/weather/history/zipcode/23901/
  • Weather History Search link: https://w2.weather.gov/climate/index.php?wfo=akq

Add buffer time

Trust us. Just do it. Even the most punctual people tend to run behind on their wedding day. Someone forgets their shoes or gets lost. Add that extra "buffer" time into your timeline.

Keep everyone up-to-date

Make sure your vendors, wedding party, immediate family and anyone else who needs to be at a certain place at a certain time knows the correct and up to date info. This is relevant for everything from flower deliveries and food serving time to the right people being present at the right time for any photos.

*Also, make sure all vendors are on the same page and don't have different information.

Example Timeline Downloads

These files are meant as a helpful resource. Each wedding is different. Please make sure to consult with your wedding coordinator and other vendors to get their recommendations on what will work best for your day.  One of the most important things is making sure everyone has the same (relevant) up-to-date information.

There are both PDF files and Word Documents below  (so that you can edit it to work for you).
